JOB POSTING 31st MAY TEN SQUARE HOTEL - RECEPTIONIST

Job title:     Receptionist
Reports to: Front Office Manager
Job context: It is most likely that you will be the first person that our guests will meet, and the first impression that you give effects greatly what they think of the Hotel.  Therefore you are expected always to be well presented, to treat the guests in a friendly and professional manner, and to personally assume responsibility for resolving any queries or requests they have.

Scope & Purpose of the Job
To assist in the organisation, supervision and smooth running of Reception, to ensure all guests are treated in the correct manner, and that all Front of House administration tasks are completed in accordance with Company procedures.  
Primary Duties & Responsibilities

  • Receiving and registering guests on arrival, bearing in mind confidentiality and Data Protection at all times
  • Control and processing of advance bookings and reservations.
  • Receiving and delivering any guest items
  • Compilation of guest billing and payment
  • Daily room allocations
  • Confidential storage of all records
  • Dealing with any/all guest queries as appropriate
  • Provide maximum guest satisfaction at all times
  • Cash handling/reconciliation
  • To be fully conversant with all facilities and services within the hotel, to be aware of and to anticipate guests needs, and to ensure that all opportunities to increase sales are maximised.
  • To be conversant with and to operate all in-house administration procedures (both computerised and manual), and to be able to operate effectively all business equipment required in the operations of Reception.
  • To know of the amenities and attractions in the local area
  • To be fully conversant and comply with health, safety, hygiene, fire and security regulations and procedures of the hotel, and to ensure others are aware of their responsibilities in this regard.
  • To ensure that a high standard of cleanliness and hygiene is maintained at all times in the Reception area.
  • To maintain a high level of co-operation with all other departments in the hotel.
  • Answering telephone calls, taking reservations, check-in and out procedures, typing correspondence, up-keep of postings ledger, handling cash and liaising with all departments.
  • Communicating effectively with Concierge to deliver/store guest luggage as appropriate

Skills & Specifications

Occasional Duties

  • To assist and take part in training courses as required.
  • To assist Management in the collation and presentation of statistical data and management information.
  • Any other duties as required by Management.

Applicant requirements:
Required:

  • A fluent command of the spoken & written English language
  • Minimum of 5 GCSE’s grade C or above
  • 2 years Hospitality / Customer facing service industry experience

Desired:

  • World Host certification
  • Higher Education qualifications
  • Previous experience working in a 4 or 5 star hospitality environment
  • For selection for interview purposes, the requirements may be scaled up should there be a large number of applications
  • Salary: Negotiable depending on experience
  • Workplace Pension scheme and 28 days holiday per annum (inclusive of Bank Holidays)

Job title:     Concierge

Scope & Purpose of the Job
To assist in the organization and supervision of the Concierge team, valet parking, meet & greet of hotel guests, conference delegates, guest information & directions, luggage assistance & storage
Primary Duties & Responsibilities

  • •    You will ensure that all guests are assisted efficiently, courteously and professionally in all Concierge related functions.
  • •    You will be responsible for obtaining updated tour information regarding places of interests such as restaurants, bars, museums and other tourist attractions.
  • •    You will liaise with the other departments in Front of House concerning all arrivals and departures of VIPs Return, and Extended Stay guests.
  • •    You will ensure that packages, messages, and mail are processed in an accurate and timely manner by your team.
  • •    This person must demonstrate the highest level of hospitality and professionalism
  • •    You must act as an ambassador for the hotel, displaying a great sense of style and integrity and conveying to the guest a sense of knowledge and assurance.
  • •    You will have immaculate personal presentation.
  • •    You will be able to maintain excellent working relationships in all hotel areas and with external customers and suppliers.
  • •    You will have the ability to live and breathe our culture of being intuitive, engaging and refined. This is how you can make a difference in the experience of our associates, our guests and in our community.
  • •    This role will require an exceptional level of attention to detail and a good level of English. Local area knowledge is vital as well as being able to inform the guest of hotel features.
  • •    You will respect guest confidentiality and Data Protection at all times.
  • •    You will also assist with guest transportation and Valet Parking; therefore a full clean driving license would be desirable. You will be responsible therefore for the Valet Parking SOP.
  • •    Attend weekly Management meetings as required.
